How we use your information

Information we collect
For example requests, we store your business name, email, service area, interest and campaign attribution to respond to your enquiry and compare which messages generate requests. This does not add you to marketing emails. We use our legitimate interests in responding to business enquiries; you may object or request deletion. We delete these requests after 12 months unless an ongoing service, dispute or retention obligation requires otherwise.
When you join the alert list, we collect your email address and, if you provide it, your business postcode. For paid members, we also store Stripe customer and subscription identifiers and subscription status. Stripe processes payment and billing information; BinClean Radar does not store your full card number.
When you enquire about bid support, we collect your name, business name, email address, requested support level and any tender details you choose to provide. The initial form must not be used for passwords, payment details or confidential tender documents.
When you choose to save a bin hygiene check, we store your partial answers and email address so you can resume it and receive one reminder. Saved incomplete checks expire after 30 days. When you choose to email a completed report, request advice or ask for a cleaning quote, we store your assessment answers and scores together with the contact, site details and optional photos you provide. Photos are held in private storage and are available only through the owner dashboard.
Members may also choose to store company evidence, Radar preferences, saved opportunities, prospect notes, feedback and tender documents. For uploaded files, we store the file itself in private object storage and the filename, type, size, upload time and associated workspace in our database.
We record privacy-conscious website analytics so we can understand how the service is used. This includes the page visited, time, referring website and campaign source, medium and name. We carry campaign tags in links between public pages, without an analytics cookie or browser storage. When you sign up or start checkout from a tagged journey, we retain those campaign details with your account to understand which links led to sign-ups. Untagged return visits or visits on another device may not be attributable. We create a one-way visitor identifier from technical request information, without setting an analytics cookie or storing the visitor’s raw IP address. Known bots, admin pages and technical files are excluded where identifiable.
Why we use it
We use this information to provide BinClean Radar tender alerts, manage paid access, respond to bid-support and bin hygiene enquiries, understand which UK regions interest users and improve the service. We do not sell your personal information.
AI-assisted tender analysis and drafting
When a member creates a bid workspace and runs a review, reruns an analysis or requests managed drafts, uploaded document contents, company evidence and relevant saved answers are sent to OpenAI, our AI service provider, to generate requirements, risks, gaps, actions, response outlines and drafts. These inputs may contain personal information. Only upload information you are authorised to share, and remove unnecessary personal or sensitive details first. We do not use AI output as a substitute for checking the original procurement documents, and members control when an analysis is requested.
Our lawful basis
We send marketing and early-access emails with your consent. You can withdraw that consent at any time by using the unsubscribe option in an email or contacting us.
Storage and retention
Sign-up and member information is stored by our hosting provider. Tender files are held in private object storage. While paid membership is active, saved bid content remains available even when you have not recently signed in.
After paid access ends, saved tender files, bid drafts and company evidence become eligible for deletion after 90 days. Unpaid accounts with no ongoing service become eligible after 12 months without account activity. We send a warning at least 30 days before scheduled account or bid-content deletion, with instructions to sign in and export your information. Signing in resets unpaid account inactivity; renewing membership protects saved bid content. Free-alert subscriptions remain active until unsubscribed or otherwise ended.
These clocks begin prospectively where older activity or cancellation dates are unavailable. Routine support enquiries and closed bin hygiene enquiries are deleted 12 months after resolution, including their stored photos. Records needed for an ongoing service, a dispute or a documented retention hold are excluded. Billing and tax records are handled separately and retained only as needed for applicable obligations.
Website analytics records are retained for up to 400 days. Application maintenance logs normally expire after 30 days; the latest scan result for each source remains available for operational checks. Hosting-provider log and backup expiry are managed separately. We are confirming those periods with our provider and do not currently promise a 30-day backup expiry. Deleted information must not be returned to active use following a backup restore.
You can delete individual bids or request account erasure sooner. For an extension, a correction or help exporting before a scheduled deletion, contact hello@bincleanradar.co.uk.
Your rights
You may ask us for a copy of your information, request a correction or deletion, object to its use, or withdraw consent. Signed-in members can download a portable account export or permanently erase their member account from Account & Privacy. Payment records may remain with Stripe where they must be retained for billing, tax, fraud prevention or legal compliance. You may also complain to the UK Information Commissioner’s Office.
